The Administrative Affairs

The Administrative Affairs Division is one of the vital divisions in the college. It specializes in organizing and overseeing administrative and employment-related matters for the staff, ensuring that daily administrative procedures are carried out efficiently and in accordance with approved regulations and instructions. It also works to provide a supportive organizational environment for the various academic and service units within the college.

Leadership in delivering professional administrative services that keep pace with institutional developments and contribute to achieving high organizational efficiency within the college.

Providing precise and organized administrative services that support the college’s academic and administrative goals through system development, ensuring job discipline, and facilitating procedures with transparency and efficiency.

Organizing and regularly updating administrative files and employee data.

Monitoring attendance, departure, and maintaining records of working hours and leaves.

Implementing procedures related to appointment, transfer, assignment, and promotion in accordance with regulations.

Supervising the distribution of administrative tasks and following up on their execution.

Coordinating with relevant departments to meet the human and administrative needs of various units.

Enhancing the efficiency of the administrative staff through continuous follow-up and development.

Preparing administrative correspondence and systematically tracking its progress and documentation.

Applying administrative quality systems and adopting modern institutional practices.

Personnel Affairs Unit

This unit is responsible for managing administrative matters related to staff and employees, such as their employment records, updating their personal and professional information, and organizing all aspects related to attendance, leave, and official correspondence. This ensures accurate tracking of each employee’s employment file within the college.

Staff Allocation Unit
The Staff Allocation Unit organizes and monitors the approved job allocations for the college, ensuring that the administrative and technical formations align with the organizational structure and the staffing plan approved by higher authorities. It also contributes to preparing reports on vacant and occupied positions, along with proposals for redistribution.

Retirement Unit
The Retirement Unit is responsible for handling the procedures of employees referred to retirement, coordinating the completion of their documents in accordance with legal regulations, and ensuring their pension rights in coordination with the relevant retirement offices. The unit also provides administrative and informational support to retirees during and after the retirement process.

Files and Electronic Documentation Unit
This unit specializes in securely storing and archiving employee files and administrative correspondence in an organized manner, transitioning toward an electronic archiving and documentation system. It works on digitizing paper files and managing them through electronic software that facilitates quick access to information while ensuring its preservation and retrieval when needed.
